You can ask us what we hold on you, get it corrected, or have it deleted, and we will answer in writing within 30 days.
This page exists separately from the privacy policy because a procedure deserves its own room, not a paragraph at the bottom of a longer document. What follows is the actual process, the actual categories of data, and the actual form we use to start it.
What you can ask for
Four things, and we mean all four literally rather than as a menu we quietly shrink when it is inconvenient:
- Access. A copy of the personal data we hold on you, in a format you can read without special software.
- Correction. A fix to any of it that is wrong — a misspelled name, an old phone number, a trail segment logged against the wrong trip.
- Deletion. Removal of data we no longer have a legal or contractual reason to keep, subject to the exceptions listed further down this page.
- Opt-out. Removal from any marketing list and a stop to ad-platform data sharing tied to your identifiers, separate from deleting your inquiry history.
We do not require you to explain why you want any of these. A reason helps us route the request faster, but it is never a condition of answering it.
Data categories we hold
This table lists what actually sits in our systems, not a generic list copied from a template. If a category is not here, we do not collect it.

How the request runs
- You submit the form below, call +1 (898) 555-4791, or email office@jaspertrailguides.com stating what you want and enough detail to find your record — usually a name plus a phone number or email address.
- We confirm receipt within five business days, by the same channel you used unless you ask for another.
- We verify your identity against the contact details already on file. See the verification section below for what that involves.
- We answer within 30 calendar days. Access requests come back as a written summary of what we hold; correction and deletion requests come back with a confirmation of what changed.
- If any part of a deletion request falls under an exception, we tell you exactly which part and why, rather than silently keeping data back.
How we verify who you are
We match the phone number or email address on your request against the one already in our inquiry records. If they match, we proceed. If they do not — a new email address, a changed number — we ask for a second piece of confirmation, such as an approximate date of a past trip or the trailhead a contract job was near. We do not ask for a government ID for a request this small in scope, and we will not ask you to create an account or a password to submit one.
When we cannot delete something
Three situations where a deletion request gets a partial answer instead of a full one, stated here rather than discovered by you later:
- An open warranty claim on trail-building work under the two-year drainage guarantee described in terms.html — we keep the job record until the claim closes.
- A safety incident report tied to a guided trip, which we keep for our own insurance and liability record regardless of a later deletion request.
- Financial records tied to an invoice, which Massachusetts recordkeeping practice requires us to retain for a period after payment regardless of a deletion request.
Outside of those three, a deletion request removes the record in full, including the inquiry notes, the chat transcript tied to it, and the consent record that came with it.

Fill in enough for us to find your record and understand what you want. The notes field is the one that matters most — the more specific it is, the faster we can act on it.
Common questions
We confirm receipt within five business days and send a substantive answer within 30 calendar days. If a request is unusually broad, for example several years of chat logs across multiple email addresses, we will tell you within that window and give a revised date rather than let it go quiet.
No, for a first request in a rolling 12-month period. A second or third repeat request in the same period from the same person may take longer to process, but we still will not charge a fee for it.
We will tell you plainly if a deletion would affect a trip already on the schedule or a warranty claim already open, and we will ask you to confirm before we act. We do not silently delete a record that a guarantee claim or a safety incident report depends on.
Yes, with written authorization from you that names the person and states what they are allowed to ask for. We verify the authorization before releasing anything, which can add a few days to the timeline.
